Every renewal needs an owner and an evidence trail

A simple operating pattern for turning subscription reminders into accountable decisions.

Renewal work fails in the gap between “someone uses this” and “someone owns the decision.” The owner should know what evidence to gather, who approves the outcome and what must be recorded afterward.

Assign the decision, not the administration

The owner is responsible for the recommendation, even if finance pays the invoice and IT manages access. Choose the person closest to the business outcome.

Name a backup for material subscriptions and a clear escalation path if the owner leaves.

Define the evidence packet

Ask for a compact set of facts: current terms, usage or adoption, alternatives, stakeholder need and switching effort. Match the depth to the size and risk of the commitment.

Link the sources rather than copying unverified claims into a summary.

  • Recommendation with tradeoffs

Close with a confirmed record

After approval, distinguish the internal decision from the vendor action. Record who contacted the vendor and what confirmation came back.
