How to turn a renewal date into a useful calendar reminder
Calculate the notice date, choose an earlier review, and keep exported calendar entries aligned with the vendor record.
A calendar event is useful only if it arrives in time for someone to act. Putting the billing date into a calendar can be too late when the vendor requires advance notice. Begin with the renewal date and the notice requirement, then decide when the owner should review the plan.
Calculate before creating the reminder
Use the free HeadsUp cancellation date calculator with the actual renewal date and required calendar-day notice. If the vendor uses another rule, work out that rule with the vendor instead of relying on this subtraction.
For a December 1 renewal with 30 calendar days of notice, the arithmetic result is November 1. An internal review might be scheduled earlier to leave time for approvals or vendor replies. Choose that buffer according to the work involved; there is no universal safe number.

Import and inspect the calendar file
Download the planner’s calendar file, import it into your chosen calendar, and inspect the resulting entry. Confirm the date, title and notes. Set the alerts you want in that calendar rather than assuming the file will notify you in the way you expect.

Replace stale entries after a change
If the vendor changes the renewal date or notice requirement, recalculate the deadline. Update or remove the old calendar event before importing a replacement so duplicate dates do not create confusion.
After the review, record the decision. If you cancel or reduce a plan, keep confirmation from the vendor and its effective date. If you keep it, prepare the next review when you have the next verified renewal details.
