The cancellation notice date is not the renewal date
The earlier date often determines whether your next software decision is still yours to make.

Teams commonly record the day a contract renews and miss the deadline for giving notice. A useful renewal register tracks both dates, the contract source and the action owner.
Work backward from the contract
Find the auto-renewal and termination language in the signed order form or current agreement. Record the required notice period and accepted delivery method.
Do not rely only on a sales representative’s summary. Keep the source link and the exact operational interpretation beside the subscription record.
- Renewal date
- Notice period and calculated deadline
- Required notice channel
Create a decision window
Schedule the internal review before the notice deadline, leaving time to collect usage, alternatives and stakeholder input. The reminder should protect the decision process, not merely announce an imminent charge.
Assign one owner who can coordinate the recommendation and another approver if the spend requires it.
- Evidence collection date
- Recommendation deadline
- Approval and notice owner
Record what actually happened
After contacting the vendor, store the date, recipient and response. A planned cancellation is not a confirmed cancellation.
HeadsUp keeps tentative actions separate from confirmed vendor changes so the register remains an evidence trail rather than a wish list.
- Notice sent
- Receipt or vendor acknowledgment
- Final effective date and terms
